1) Overview

Auto Services Group Pty Ltd ("we", "us", "our") operates a subscription website that allows users to view Japanese vehicle auction listings and related information (the "Service").

We respect your privacy and are committed to handling personal information in a transparent and secure way, consistent with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

As a South Australia–based business, we also aim to meet the spirit of South Australia's Information Privacy Principles (IPPs) (a public-sector standard) as an additional best-practice benchmark.

2) What personal information we collect

We may collect the following categories of personal information:

Account and subscription information

  • Name (or display name)
  • Email address
  • Password (stored as a one-way hash)
  • Subscription status and plan level
  • Customer identifiers related to billing (e.g., Stripe customer ID)

Payments (Stripe)

We use Stripe as our payment processor. We do not store your full card number or payment credentials in our systems. Payment details are handled by Stripe, and we typically receive only limited billing-related information (e.g., payment status, billing email, country, and Stripe customer/payment IDs).

Import broker enquiry (optional / user-initiated)

If you choose to volunteer your information to an import broker through the Service, we may collect and/or transmit details such as:

  • Your name and contact details (email, phone)
  • Location/state
  • Vehicle preferences or the specific vehicle you're enquiring about
  • Any message content you submit

Technical and usage information

  • IP address, device identifiers, browser type, pages visited, timestamps
  • Cookies and similar tracking technologies (see section 9)
3) How we collect personal information

We collect personal information when you:

  • Create an account, update your profile, or contact support
  • Subscribe or manage a subscription (via Stripe)
  • Use the Service (e.g., browsing auctions, searching, saving favourites)
  • Submit an import broker enquiry (only if you opt in)
4) Why we collect, use, and disclose personal information

We use personal information to:

  • Provide and operate the Service (account access, subscriptions, feature delivery)
  • Process subscriptions and manage billing through Stripe
  • Provide customer support and respond to enquiries
  • Improve the Service (analytics, debugging, performance monitoring)
  • Maintain security, prevent fraud/abuse, and enforce our terms
  • Comply with legal obligations

We will only use or disclose personal information for the purpose it was collected (or a related purpose you would reasonably expect), unless we have your consent or are required/permitted by law.

5) Disclosure to third parties (including import brokers)

We may disclose personal information to:

  • Stripe to process payments and manage subscriptions
  • Hosting and infrastructure providers (e.g., cloud hosting, email delivery, logging/monitoring)
  • Analytics providers for aggregate usage insights
  • Professional advisers (legal, accounting) where necessary
  • Law enforcement / regulators where required or authorised by law

Import brokers (only if you choose)

If you request to share your details with an import broker, we will disclose the information you provide to that broker to facilitate your enquiry. The broker will handle your information under their own privacy policy and processes. You can choose what you share, and you can stop the process by not submitting the broker enquiry form.

6) Overseas disclosure

Some of our third-party providers (including Stripe and certain hosting/analytics services) may store or process information outside Australia.

Where we disclose personal information overseas, we take reasonable steps to ensure it is handled in a way consistent with Australian privacy requirements (for example, using reputable providers, contractual protections, and security controls), noting that overseas recipients may be subject to different laws.

7) Data security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. This includes measures such as:

  • Encrypted connections (TLS/HTTPS)
  • Access controls and least-privilege permissions
  • Secure password hashing
  • Monitoring and logging for suspicious activity
  • Regular updates/patching and vulnerability management

No method of transmission or storage is 100% secure, but we work hard to keep your data safe.

Data breaches

If the Privacy Act applies to us as an APP entity, we will comply with the Notifiable Data Breaches (NDB) scheme where an eligible data breach is likely to result in serious harm.

8) Data retention

We keep personal information only as long as needed to:

  • Provide the Service and meet the purposes described in this policy
  • Meet legal, tax, and accounting obligations
  • Resolve disputes and enforce agreements

When no longer required, we take reasonable steps to delete or de-identify it.

9) Cookies and analytics

We may use cookies and similar technologies to:

  • Keep you signed in
  • Remember preferences
  • Understand usage patterns and improve the Service

You can control cookies through your browser settings. Some features may not work properly if cookies are disabled.

10) Direct marketing

If we send marketing messages, we will do so in line with Australian spam laws, including providing a functional unsubscribe option.

11) Access and correction

You can request access to personal information we hold about you and ask us to correct it if it's inaccurate, out of date, incomplete, irrelevant, or misleading. We may need to verify your identity before responding.
